About the role 

The Head of Operations (HOO) is responsible to support the Principal on the strategic and operational management of the school compliance with policies and procedures of the school, and other regulatory authorities to provide an excellent environment and facilities that supports learners, academic and non-academic staffs at all times. This position report to the Principle. The HOO is responsible for the line-management of non-academic departments and overall responsibility for non-academic functions. The non-academic departments consist of overseeing Finance, Purchasing, Human Resources, Facilities, Student Services and Front Desk. 

 
 

Your responsibilities

The top 3 responsibilities areas as below: 

Finance 

  • To ensure the integrity of financial results and the accounting practices consistent with policies procedures and guidelines of the school and other regulatory authorities’ in the daily operations and preparation of accounts.

  • To ensure that all the submission of financial and management reports are on timely basis.

  • To monitor on financial performance by measuring and analyzing results; initiate corrective actions to minimize the impact of variances.

  • To lead and supervise in planning and preparation of the annual budget in conjunction with the Principal.

  • To monitor and work closely with management in taking timely action to ensure that budgets and financial plans stay within approved levels.

  • To monitor on cash flow and expenditure activities in a leveraged environment.

  • To conduct reviews and evaluations for cost-reduction opportunities and risk management.

  • To oversee and monitor on asset management effectively.

  • To oversee business insurance plans and health care coverage analysis.

 

Purchasing 

  • To ensure the daily operations of the Purchasing Department meet in a timely, efficient, effective and ethical manner.

  • To ensure that appropriate resources are purchased and delivered in a timely manner for the whole school and inventory process is in place for the tracking of school assets.

  • Provide oversight of all purchases in compliance with the group procurement policies and procedures.

  • To evaluate, make recommendations on the procurement procedures for that represent best purchasing methods while conforming to the group policy.

  • To oversee on budget control for all the departments is in compliance and within budgetary limits.

 

Human Resources

  • To lead and oversee the Human Resource team of the school to deliver a comprehensive HR practice compliance.

  • To ensure HR processes, programs and practices into their daily operations strategically integrate effectively.

  • To supervise on complex disciplinary/grievance and HR issues, conduct disciplinary review, initiate corrective actions to maximize the efficiency of the school operations.

  • To monitor on HR budgets.

  • To promote equality and diversity as part of the culture of the organization.

  • To monitor on HR-related projects.

  • To provide guidance on development for managers and their team members; identify areas that need attention and improvement.

  • To provide continuous staff development opportunities to ensure staff possesses sufficient training and required skill levels to perform their assigned tasks in a proficient manner.

  • To liaise with Principal on HR issues related to academic department.

 
 

You will have

  • Candidates with strong Finance & Business Acumen is a priority.

  • Matured, able to work in fast pace, good with process & policy, open for new things, good leadership.

  • Bachelor Degree in Business/Economics/Finance or its equivalent.

  • MBA an advantage.

  • At least 10 years’ of related experience in a managerial role, preferably in an education institution.

  • Excellent leadership qualities and problem-solving skills essential.

  • Strong strategic planning skills and experience preferred.

  • Hands on approach to the role, strong work ethic and possess the drive to work in a dynamic and demanding environment.

  • Strong people management skills with the ability to lead by example to promote and develop a strong team.

  • Pleasant personality, positive work attitude, action and results oriented.

  • Superior communication and presentation skills.

  • High level of computer literacy.
