About the role 

The Technical Assistant, is part of the Global Payroll Services and Position Management teams and will work under the supervision of the Payroll Specialist and very closely with the GSSU teams in the key functions described below, to ensure an effective global payroll and position management services.


Your responsibilities

  • Support Position Management team by extracting data from Position Management system and uploading it into UNDP’s ERP system PeopleSoft.

  • Running batch processes in Atlas HCM to create/update positions.

  • Work closely with the RBAP tech team on upgrades/modifications of the Position Management system.

  • If needed, create/update/maintain positions in Atlas HCM as per Country Offices and Regional Bureaus requests.

  • Run monthly validation reports and update of the position chart of accounts for timely posting of the payroll results to general ledger.

  • Provide support to Country Offices and Regional Bureaus in generating ad-hoc reports for positions and payroll costs.

  • Develops basic PS Queries in PeopleSoft to cater to the reporting requirements from GPS Management, Position Management team, Payroll Team and another team from the global unit.

  • Schedule Reports and PS Queries to run on specific weekly, bi-weekly, monthly schedule to generate and distribute the data to different clients.

  • Write SQLs and extract data from the database to cater to various ad-hoc data requests from Auditors and management for different purposes.

  • Upload configuration and transactional data of repetitive nature into the ERP system using Macros and other automated IT tools to reduce the labor-intensive workload.

  • Reconcile the data uploaded using the automated mechanisms.

  • Prepare and supply templates for different application areas so the different units/offices can submit data in the prescribed templates for the bulk uploads.

  • Builds, applies and shares knowledge and experience and provides helpful advice to others in the office.

  • Ability to document and share different processes, procedures and the knowledge.

  • Work with other units/teams in achieving better cross-integration of applications and cross-sharing of the data.

  • Define and manage the process by which the global unit will support, identify, evaluate and prioritize continuous improvement initiatives.

  • Maintain awareness on continual process changes for IT systems, platforms and software use.

  • Any other ad-hoc tasks that come along.


You will have 

  • 5 years with Diploma in IT or 2 years with Bachelor’s Degree, of hands-on IT work experience in PeopleSoft or Similar ERP application.

  • Technical Hands-on Expertise in writing SQLs for data extraction.

  • Proficiency in any one Programming Language – Visual Basic, C, Java or similar.

  • Expert user with Advanced skills in MS-Excel like Pivot tables, Formulas, Lookups, etc.

  • Experience in developing Macros or Scripts using any tools like iMacros, Selenium, etc. for automating the load of bulk data into Web applications.

  • Relevant work experience in public and/or private sector.

  • Proficiency in data processing and data analysis.

  • Exposure to ERP Software Development/Maintenance is an asset.

  • Knowledge of the UN Human Resource rules in particular the administration of staff salaries and entitlements would be an advantage.
